DYHA Refund Policy
When completing a registration for DYHA Hockey, and paying the specified fee, a returning player is guaranteed a position in our house program and has the right to then try out for the appropriate DYHA travel team. Therefore, returning players trying out for travel teams will pay a non-refundable Registration Fee, part of which will be a Tryout Fee, and the remainder will be applied to the Travel Team Fee if the player makes a travel team, or to the House League Fee if the player does not make a travel team or chooses to not accept an invitation to join a travel team.
Players invited to try out for travel teams from the wait list will be treated the same as returning players.
Separate registration processes will be in effect for players trying out as impact players or for Midgets, U14 Girls, U16 Girls or U19 Girls Travel teams. Players trying out for these teams will pay only a Tryout Fee until they accept an invitation to play for a travel team; once invited to join a travel team they will be treated the same as any other travel team player under this policy. The Tryout Fee is always non-refundable.
Requests for refunds or credits under this policy must be made via email to the DYHA Treasurer (find contact details at www.dyha.com). If a refund request is approved, the refund will be processed and paid in approximately 4 to 6 weeks from the date of the approval of the request.
The provisions of this Refund Policy will be applied strictly. This is because the registration is taken as a serious commitment by the registering family to participate in the DYHA program and should be treated as such. Fees paid are used early in the registration process to fund expenses critical to the operation of a successful DYHA program.
1. Request for Refund of Fees for House Players
Except as expressly provided below, refund requests from house players MUST BE REQUESTED by June 1 of the current registration year, and made via email to the DYHA Treasurer (find contact details at here). Refund requests from house players made by June 1 will be granted and reimbursed in the amount of 50% of the House League Fee paid (less a 3% processing fee); however, a house player who tried out for travel and paid the non-refundable Registration Fee will receive (or, if unpaid, will be forgiven for) 50% of the difference between the House League Fee and the Registration Fee (less a 3% processing fee).
2. Requests for Refunds of Fees for Travel Team Players
No portion of the non-refundable Registration and Tryout Fees will be refunded. Except for the narrow exceptions, or in an executed Travel Commitment Letter, no portion of any other fee paid or payable by a player rostered to play for a travel team will be refunded (or forgiven if unpaid). A player is considered rostered when the player is selected for the travel team and executes the Travel Commitment Letter.
3. Bantams and Senior Major House Players Making High School Teams
Registered players who lose their eligibility by playing for their CIAC high school hockey team are eligible for a refund amount of 50% of all amounts paid in excess of the Tryout Fee (less a 3% processing fee), if they relinquish their spot on the DYHA team.
4. DYHA Injured Player Refund Policy
In the event a player incurs an injury that renders the player unable to play for the remainder of the player’s team’s season (a “season ending hockey injury”), the player may be eligible for a refund of the registration fee and travel tuition. Refunds will be in the form of a credit to be applied to future registration fees and travel tuitions. The credit can only be applied to the account of the injured player. The amount of the refund for which the player may be eligible will be based on the date the player notifies DYHA he/she does not intend to return to play and provides the required physician’s documentation that the player has incurred a season ending hockey injury:
Prior to the start of the season – 100%
Prior to November 30th – 50%
On or after November 30th – 0%.
In order to be eligible for a credit, the player will need to provide written documentation from a physician stating the player has suffered a “season ending injury” and cannot return to play. Credits may only be granted if the player’s account is in good standing and is paid in full.
In order to try out for the next season after a “season ending injury”, the player must provide a “clear to participate in the sport of hockey” letter from the player’s physician prior to being allowed on the ice for tryouts.
The DYHA Board of Directors reserves the right to review all requests for refund or credit based on injury to consider, among other things, compliance with this policy and extraordinary circumstances, at its sole discretion.
5. Special Exceptions
DYHA will consider, at its sole discretion, a request for a “special exception” refund or forgiveness of fees (other than Tryout Fees) based on extraordinary circumstances. Please note that deciding not to play in the DYHA Program, whether house or travel, or to play at another program, is not considered an extraordinary circumstance warranting a “special exception” refund.
6. COVID-19 Refund Policy
DYHA is a 501(c)(3) organization and we strive to maintain policies that are fair and reasonable for our membership and allow DYHA to continue to operate. Given the uncertainty around the current COVID-19 pandemic, DYHA has adopted this COVID-19 refund policy which will go into effect only if the 2020-21 season is delayed, halted temporarily or cancelled entirely in each case due to a complete closure of ice rink facilities. In such case, DYHA will make an assessment in its reasonable discretion of any refundable amounts, taking into account the portion of the season impacted by such delay, halt or cancellation and accounting for any unrecoverable expenses incurred and other fixed operating costs. This assessment may take time to work through with our rink operators.
If it is determined that amounts are to be refunded, members will be notified and have the following options with respect to such refund:
· Account Credit – Credit towards the next season’s tuitions for any family member’s account
· Refund – Refund to your credit card or by check (less a 3% processing fee)
· Donation to Coach – Donate some or all of your refund to your team’s coach(es)
· Tax-deductible donation to Friends of DYHA - Donate your refundable balance in lieu of a credit or refund. For information on Friends of DYHA's mission, please visit www.dyha.com.
